General terms and conditions of business
for conferences and room occupancy in the hotel
Dear seminar organizer, dear guests,
Our goal is to make your stay as pleasant as possible. This also means that you should know exactly what services we provide, what we are responsible for, and what obligations you have towards us.
- The contract is concluded as soon as the room(s) have been ordered and confirmed, or if confirmation is no longer possible due to time constraints, they have been made available. Verbal agreements only become effective once they have been confirmed in writing by the hotel.
- Optional dates are binding for both contracting parties. The hotel reserves the right to reassign the reserved conference rooms/rooms after the option dates have expired.
- When registering for multiple people, especially groups, the participant list should be made available to the hotel at least 4 days prior to arrival in the interest of all parties.
- If the content of the reservation confirmation differs from the content of the registration, the differing content of the confirmation becomes binding for the guest and the hotelier if the guest does not exercise the offered cancellation option within 10 days.
- Reserved conference rooms are only available to the service participant at the time agreed upon in writing. Use of the rooms beyond the agreed period requires prior consultation with the hotel. Reserved hotel rooms are available to the guest from 2:00 p.m. on the day of arrival until 10:00 a.m. on the day of departure. Unless an arrival time has been expressly agreed, the hotel reserves the right to reassign booked hotel rooms after 6:00 PM.
- In the event of an early departure, the guest is requested to notify reception of their departure no later than 8:00 PM on the day before departure; For late check-out, €15.00 per hour is payable from 12:00 PM, and the full room rate minus breakfast is payable from 4:00 PM.
- Which services are contractually agreed upon can be found in the information in the reservation confirmation, which refers to it.
- Refunds for services ordered but not used are not possible.
- The quoted prices are inclusive and include service charge and value-added tax (VAT).
- If the period between contract conclusion and provision of services exceeds six months, the hotel reserves the right to change prices without prior notice.
- Changes to or cancellations of reserved rooms and arrangements will be invoiced.
– No charge up to 21 days before the start of the event
– 60% of the agreed service from 20 to 15 days before the start of the event
– From 14 to 0 days before the start of the event: 80% of the agreed service. - A change in the number of participants must be communicated at least 3 days before the start of the event; otherwise, at least the number of agreed services or arrangements ordered will be invoiced.
- The organizer/orderer is liable for the payment of any additional food and beverages ordered by the event participants.
- Malfunctions in the technical or other equipment provided will be remedied immediately, if possible. However, withholding or reducing payments is not permitted.
- Our invoices are payable within 14 days of the invoice date without deduction.
- We reserve the right to correct errors, printing errors, and calculation errors.
- The invalidity of individual provisions of the contract or these terms and conditions shall not affect the validity of the remaining provisions.
- For all disputes arising from this contract and its fulfillment, the jurisdiction of the Oldenburg District Court shall be, to the extent permitted by law.
